The Best Payroll Software for Small Businesses in Florida for 2022: In-Depth Review

ADP RUN: The most comprehensive Payroll Software ever, now for Small Businesses

ADP is the biggest name in HR and Payroll software in the US. The ADP software package is extremely comprehensive, meant for companies with hundreds or thousands of employees. As a small business owner, you don’t really need that kind of scaling.

But if you still want the various functions and features they offer, then ADP RUN is the best option. RUN is a compact version of ADP’s full suite, targeted at small businesses. Almost all the functions are still there, but the program is simpler and easier to use. For small businesses without dedicated HR personnel or departments, this is the perfect solution.

RUN features a dashboard where you can carry out the majority of payroll tasks. You will be guided through each task. Clear step-by-step instructions and explanations are given, making the software extremely easy to use even for those with no clue about HR.

Any recurring tasks can be fully automated. They will be carried out automatically at the scheduled time.

RUN also handles all taxes and deductibles. It always uses the latest tax details from the Federal laws and Florida’s state laws. W-2s, 1099s, health insurance, benefits and everything else are automatically calculated and filed.

ADP has a marketplace filled with hundreds of add-ons and modules developed by third parties. These modules add extra features to RUN in order to streamline HR and Business Administration work. Browse through the modules to see if there are any that would be particularly useful!

The pricing is not given publicly. There are four packages – Essential, Enhanced, Complete and Pro. I recommend getting the Enhanced package at least since it opens up unemployment tax filing and background checks. Since you are getting all other tax filing tools, it is only sensible to complete unemployment tax alongside them.

We have a full, detailed review of ADP RUN. As it could end up costing you a lot, please check out the review before going ahead!

You’ll Really Like

  • Detailed, Step-By-Step Instructions for everything.
  • Automatic payroll tasks carried out at regular intervals
  • Automatic calculation and filing of W-2s, 1099, etc.
  • Additional features and functions available as add-ons on the market.

You Should Look Out For

  • Information and feature overload. Even if RUN is a simplified version of ADP, there are a lot of features.
  • Pricing is not given and must be quoted. The salesperson might be pushy and try to sell you the app.

Sure Payroll: Fully Automatic and Self-Servicing Payrolls

Sure Payroll is one of America’s most celebrated small business payroll software. For over two decades, Sure Payroll has been providing businesses with easy-to-use HR solutions.

In fact, this is probably the only payroll software that considers you hiring a nanny or babysitter to be a full-time employee. Even if they’re still working part-time, they are considered legal workers in most states and should be paid accordingly.  Fortunately, with Sure Payroll you can do this without having to learn HR and payroll calculation.

For small businesses, Sure Payroll has all the features you expect to see. It manages payroll and tax filing for you automatically. It calculates and hands out worker comps, 401(k)s, health insurance, etc. Florida updates its minimum wage according to inflation at the end of September. Sure Payroll always stays up to date and updates itself immediately.

If you are having trouble finding the latter at a good price, then Sure Payroll and Paychex can help you find one. Sure also includes automated background checks when a new employee is being onboarded.

There are actually two versions of Sure Payroll. I will compare them quickly here so you can decide which one will be better for your purposes.

The first version is the Self-Service version. It includes all the core features like calculating taxes, unlimited payrolls, new hire reporting, and onboarding. However, the main drawback of the Self-Service version of RUN is that it does not pay and file the calculated taxes.

So, if you use the Self-Service version, you will have to contact the bank yourself. This is not a lot of trouble, but it will take up a day or two at the end of each month. You can skip this with a small payment of about $9.99.

By contrast, the Full-Service version does include automatic filing of taxes, plus integration with other software. Of course, the full-service version is also more expensive. It has small fees for software integration and integrated time clock management.

Overall, expect to pay about $20-30 for the additional features in the full version. That brings up the price of Self-Service to about $20 a month and the full version starting at $30 a month, before the feature add-ons. This is the starting price. Each employee adds $5 to this cost.

If you want more information on Sure Payroll, you can always check our in-depth review on it.

You’ll Really Like

  • Automatic compensation, insurance and 401k.
  • Self-Service costs less than most other payroll software.
  • Supports even micro-businesses like a single parent with a babysitter or nanny.

You Should Look Out For

  • Does not file taxes in the basic version without paying extra.
  • Lacks some HR perks and cannot scale up effectively.

Workful: Everything you need to run a business in one Package

Most other payroll software assumes that you will be using other programs in conjunction such as Xero or Quickbooks for Accounting.

However, Workful specifically disregards this. The design philosophy here is that everything you need is already present in Workful. True to this, Workful does not play well when it comes to integrating. However, it does have its built-in versions of different accounting, time tracking, document storage and business administration tools.

As a small business owner, you might not want to waste time learning so many different tools. It would be more efficient to learn just one tool. That is where Workful has the advantage over most other payroll software.

In terms of HR features, Workful can calculate payrolls and the various taxes that are involved. It has various types of reports, such as expense and mileage, tax liability, time off, and timesheet. New employees can self-service their onboarding process by filling up the form themselves.

Workful also has internal communication features. Rather than having to use Google Calendar, Slack or another third-party software, managers can send out notices and notifications through Workful’s internal systems.

Finally, Workful has an efficient clocking system. Employees can clock in and out with ease. Overtime details are available at a glance in the dashboard.

The pricing is quite affordable. It starts at $25 a month for the software, plus $5 for each employee. There are no tiers, so you get everything for this one price.

Workful’s unique philosophy and approach made it stand out. We have reviewed it in detail, which you can read here.

You’ll Really Like

  • Employee self-servicing for onboarding.
  • Built-in accounting, time management and document storage.
  • Support is communicative and helpful.

You Should Look Out For

  • Integration issues. It does not play nicely with other software except Quickbooks. May require you to stop using other programs and transition over.
  • Document Storage and Accounting features, which are not as good.

Rippling: There is an Add-On for Everything

Rippling is a payroll software built on the premise that automation and syncing is the way to go. Out of all the various payroll and HR apps I have tried, none of them were as easy or quick to run as Rippling.

In fact, Rippling claims to unify the work of HR and IT. While it does cover most of the HR work, it misses out on some aspects of IT. It is not as deeply customizable and controllable as IT should be.

Rippling can execute the payroll in just one button press. Employee data is always kept in-sync with the HR database and time schedule, so there is no need to enter overtime or deductions manually. The software will know about those and make the necessary adjustments at the time of payroll.

Various forms such as the 1099 for contractors, I-9s and W-2s are all also automatically filled up and submitted to the proper authorities. The same goes for other tax forms. While Rippling does this automatically, you can also double-check the work if you want.

Rippling has one feature not many other payroll software does: global payouts. We currently live in a world where remote work is very common and easy. Your most hardworking and dedicated employee could live on the opposite side of the world in a different country.

While there are various issues to be handled when paying employees internationally, Rippling can take care of most of those.

Rippling also comes equipped with a huge library of templates for reports. Generate any reports you like in any format, so you can see where your business and employees are performing well and where any issues are.

If all these features weren’t enough, Rippling also has access to a full marketplace of third-party add-ons, similar to ADP. The rippling app shop has hundreds of tools that can integrate into Rippling and improve various parts of it.

In terms of pricing, Rippling’s cost is fixed at $8 per employee. For small businesses, the lack of a fixed starting price is appreciated. On the other hand, for mid-sized businesses, this price is quite high.

So, is Rippling’s price worth it for businesses with more than a handful of employees? Our detailed review of the software might help you decide.

You’ll Really Like

  • Payrolls calculated and deployed in a couple of minutes with one click.
  • Templates forms for analytical reports
  • Additional tools in the Rippling App Shop

You Should Look Out For

  • The learning curve. Rippling can be complicated at times.
  • Overwhelming number of features for HR software beginners

The Bottom Line: Best Payroll Software for Small Businesses in Florida

There are some amazing options for payroll software for small businesses in Florida. While all of these payroll software have some small disadvantages, the advantages they have make up for it.

Ultimately, the choice is yours. You just have to evaluate what kind of tools you need the most and which of the listed software provides them.

It is not easy for me to recommend just one software. Personally, I would recommend ADP run for a small or mid-sized business such as one with 15 or more employees.

However, if you have fewer employees or have international remote workers, then Rippling would be the way to go! It would save you the hassle of having to run a separate IT department for a few people, while still being affordable.
